How to load lunch benefit – employee load requests or employer direct loads?

Choose the loading method according to your company’s practices and needs. Employee load requests offer flexibility and ease, while direct loading gives the employer more control.

A) Employee load request

Employer: Transfer money to the Edenred Wallet in the Transfer money section.

  • The Edenred Wallet is a company-managed benefit wallet from which lunch balances are automatically and instantly loaded to employees.
    • The money in the Edenred Wallet belongs to the company and can be refunded via customer service if needed.
     
  • The employer does not need to manually collect or approve load details in advance – the employee selects the amount to load and the balance becomes immediately available for use.
  • When choosing the amount to transfer to the Edenred Wallet, please consider VAT and loading fees, which are charged at the time of balance loading. The money transfers themselves are completely free of charge.
    • The calculator in the Transfer money section shows how much should be transferred to the Edenred Wallet to provide employees with full lunch benefits for the next 2 months. This estimate is based on employee settings and workdays that entitle lunch benefit (Lounari).
    • The employer receives an automatic email reminder when more money should be transferred to the wallet.
     
  • Details of load requests and transfer receipts can be found in the Transactions section. Additionally, payroll reports can be downloaded in Reports. A usage report is sent monthly by email.
 

Employee: Make the load request in the Edenred app

  • The employee selects how many workdays’ balance they want to load, and the balance is immediately available for their use.
  • Load requests can be made during the current month, starting from the first day of the month. The balance can be loaded all at once for the whole month or for individual days.
    • If the entire balance is not loaded at once, more can be requested during the current month. The app shows how many workdays of loading rights are remaining. Balances from prior months cannot be requested retroactively.
     
  • The employer receives an email notification if the Edenred Wallet balance is insufficient to cover the loads. When more money has been transferred to the wallet, pending loads are carried out automatically.
 

B) Employer direct loads

Employer: Load benefits directly to employees in the Load benefit section.

  • All benefits can be loaded via direct loading either to individual employees or to the entire staff at once.
    • Select the benefit, the loading date, and for how many workdays to load the benefit.
    • Loadings can be made for individual months or scheduled for the entire year in advance. Please note that loadings are processed and invoiced per month.
    • When selecting employees, you can also see the amount of balance available for loading. This is based on benefit group settings and previous loads made for the employee.
     
  • You can monitor loading progress in the Transactions section and download reports in the Reports section.
 

Hard to decide?

If you are unsure which loading method suits your company best, you can always change your choice later in the benefit group settings. Changes take effect from the 1st day of the following month.
