How do we take holidays into account when granting the lunch benefit if we use employee load requests?
If employees use lunch benefit load requests, loading for holiday or absence periods can be prevented in three ways. Choose the option that best fits your situation.
Option a) Employer; temporarily change the lunch benefit loading method to employer direct loads
This option is suitable when you do not want to load lunch benefit for the entire staff for a certain period. Employees can still use any previously loaded balance normally.
How to do it
- Open Benefit groups in the Employer portal.
- Select a benefit group and click Edit.
- Under Lounari (lunch benefit), turn on General settings.
- Under The benefit loads are made as, select Employer direct loads.
- Save the change.
Example: employees do not receive lunch benefit in July
- Make the change during June.
- The new loading method will then take effect on 1 July.
- From the beginning of July, the employees’ load request button will disappear from the Edenred app, and they will not be able to request lunch benefit for July.
- If you want employees to be able to make load requests again starting in August, change the loading method back to employee load requests during July.
- This change will take effect on 1 August.
Please note
- A change to the loading method always takes effect on the first day of the following month.
- This option is best suited to situations where loading needs to be blocked for the whole group at once.
Option B) Employer: set the employee’s employment type to “On hold”
This option is suitable when you want to prevent an individual employee from requesting lunch benefit during, for example, parental leave, sick leave, or another longer absence. The employee can still use any previously loaded balance normally.
How to do it
- Open Employees in the Employer portal.
- For the selected employee, click Edit Employee.
- Change Employment Type to On hold.
- Save the change.
Please note
- The change takes effect immediately after saving.
Option C) Employer: agree internally that the lunch benefit is only requested for working days
This option is particularly suitable for small companies or situations where employees are able to track themselves that they only request lunch benefit for actual working days.
How to do it
- Instruct employees to request lunch benefit only for working days.
- Make sure the benefit is not requested for, for example:
- holidays
- sick days
- parental leave
- study leave
- If the number of actual working days in a given month is lower than originally requested, the employee can take this into account in the next request and request a smaller amount.
Summary
- Option A is suitable when loads should be blocked temporarily for the whole group.
- Option B is suitable when the block should be applied to only one employee.
- Option C is suitable when the matter can be handled through internal guidance without system changes.
